Booking a boat for charter – what it really looks like in practice
When we talk about booking a boat for rental, we know one thing for sure: what matters most to our guests is that the entire process is clear, safe, and free of unnecessary stress. That is exactly why we wrote this text from our own perspective – the perspective of people who have been working in boat rental and charter for many years, who have seen all kinds of situations, and who advise guests every single day as they place their trust in us.
From our experience, we can say with confidence that a successful booking always starts with a short inquiry. Simple. No complications.
A summary of the boat booking process – step by step
To make everything even clearer, we often summarize the entire boat booking process for our guests like this. When you look at it laid out step by step, it becomes obvious that the process is logical and quite straightforward:
-
you send us an inquiry – either with specific boats already selected or just with your wishes
-
we suggest available options based on your preferences
-
we temporarily reserve the selected boat for you
-
you review the equipment, conditions, and ask additional questions
-
you confirm your decision and sign the contract
-
you make the payment according to the agreed terms
-
you provide the required documents and the crew list
-
you receive the voucher and all information for boat check-in
And that’s it. No hidden steps and no surprises. From our experience, guests who go through this process calmly and well informed start their holiday much more relaxed. And honestly, that is our goal – for the booking to be stress-free and to feel like the first pleasant step toward time spent at sea.
How does a boat booking start?
Shortly after we receive your inquiry, we get back to you with a concrete offer of available boats or cruise cabins, based on the criteria you provided. Guests who have booked with us so far usually arrive at the inquiry stage in one of two ways.
The first is by carefully browsing our database of available boats, comparing options, reading descriptions, and then adding the boats they like to the cart. The second, equally common approach, is simply sending us an inquiry with basic wishes – dates, number of people, approximate budget – and letting us create a shortlist for them. In fact, many guests prefer exactly this.
In both cases, at that point we additionally check availability with the boat owner or the charter company. And this is where we always emphasize the first important thing: we believe there are no “unnecessary questions.” If you are not sure about something, ask. This is the right moment.
Temporary reservation and time to decide
Once a boat is selected that you like and might want to rent or charter, we temporarily make it unavailable to other guests. In booking terms, we say that the boat is placed “on option.” We do this so you have time to make a final decision and exchange opinions with the rest of your crew. Our guests really appreciate this.
How long can we keep a boat “on option”? That depends on the season. If you are booking months in advance, we can often hold it for up to a week. However, during peak season, when dates are in high demand, that period is sometimes reduced to a day or two. Honestly? That’s the reality of the market.
At this stage, we strongly advise checking once again, in direct contact with your agent, the latest version of the general rental terms for that boat, and especially the boat’s inventory list. We have noticed that misunderstandings almost always happen when certain details are skipped. And that is easily avoided.
If you are interested in a specific piece of equipment or have a special request – now is the time to say it. Before it’s too late.
Booking confirmation and documentation
Once you decide to proceed with the boat booking, we send you the complete documentation by email: the contract, rental terms, payment offer, and the crew list form. Everything clear. Everything transparent.
The deadline for signing the contract and paying the deposit is usually between 2 and 5 days, depending on whether it is an early booking or a last-minute rental. After we receive the signed contract and the deposit, your booking is confirmed. No “ifs” or “buts.”
We can say with certainty that this is the moment when most guests feel genuine relief. Because now they know the boat is theirs.

Boat rental with or without a skipper
If you meet the requirements for operating a boat and choose a bareboat rental, we will need a copy of the skipper’s valid license and VHF certificate. This is not a formality; it is a legal and safety requirement. There is no compromise here.
If you opt for a skippered charter, from our knowledge and experience we know it is excellent practice to request the skipper’s contact details in advance. We recommend discussing your expectations, route plan, and holiday style with them. Because everything a hired skipper does means that they are not just the person steering the boat – they are a key part of your overall experience.
The same applies if you hire a hostess. A hired hostess takes care of the daily organization on board, but it is important to align expectations in advance regarding what a hostess does. We have seen firsthand how much this contributes to a more relaxed holiday.
Preparation before arrival at the base
A few weeks before the start of the rental or charter, we will need the completed crew list and information about your planned arrival at the base. This allows us to better organize the boat handover and reduce waiting time.
If you wish, at this stage you can also arrange airport transfers, provisioning, or additional services. What matters to us is that you arrive – and set sail – without stress.
Voucher and the final step
Shortly before the start of your rental, you will receive the voucher for boat check-in. It contains all key details: information about the charter base, the exact location, and contact details of the base staff who will provide you with the fastest and best possible assistance on site.
Short. Clear. Practical.
Booking a cabin on a cruise vessel
In the case of booking a cabin on a cruise vessel, we recommend familiarizing yourself with the onboard rules in advance. This is not only about order, but also about respecting other guests on board. Guests who have trusted us so far often point out how much this helped them adapt more easily to life at sea.
